1. PERSONAL DATA ADMINISTRATORS

The administrators (Co-administrators) of your personal data are:

  • Kulczyk Foundation, based in Warsaw (00-526), at 24/26 Krucza Street, registered in the register of associations, other social and professional organizations, foundations, and independent public healthcare institutions of the National Court Register maintained by the District Court for the capital city of Warsaw, XII Commercial Division of the National Court Register, KRS: 0000471002, NIP: 7010414847, REGON: 147124722,
  • dFlights sp. z o.o., based in Warsaw (00-526), at 24/26 Krucza Street, registered in the register of entrepreneurs of the National Court Register maintained by the District Court for the capital city of Warsaw, XII Commercial Division of the National Court Register, under number KRS: 0000721652, NIP: 6772432524, REGON: 369620432, share capital of 5000 PLN.

Each of them is referred to separately as the “Administrator” and collectively as the “Co-administrators,” “we,” “our,” “us”.

2. WHOSE DATA WE PROCESS

As Co-administrators, we process your personal data when you register to participate as a volunteer at the Malta Festival, which will take place from September 7-15, 2024, in Poznań (hereinafter referred to as the “Festival”). The Co-administrators are the organizers of the Festival. You register for the Malta Festival through application forms on the website www.malta-festival.pl (the “Website”). During this activity, we collect your personal data directly from you.

If you want to exercise your rights related to the processing of personal data, please contact us via email: rodo@malta-festival.pl or in writing, by registered mail with the note “RODO” to the address of any of the Co-administrators, i.e.:

4. PURPOSES OF PERSONAL DATA PROCESSING

Your personal data is processed for the following purposes:

  • Conducting the volunteer recruitment process, based on your consent for personal data processing; the basis for processing is consent (Art. 6(1)(a) GDPR),
  • Conducting future volunteer recruitment processes, based on your consent for personal data processing; the basis for processing is consent (Art. 6(1)(a) GDPR),
  • Concluding a volunteer agreement and fulfilling the volunteer role; the processing of personal data is necessary for the performance of a contract to which you are a party or to take action at your request before concluding a contract (Art. 6(1)(b) GDPR),
  • Fulfilling the legitimate interests of the Co-administrators regarding data obtained from you during the recruitment process, verifying your skills and abilities required for the type and scope of volunteer services, and in case of legal needs to prove facts, fulfill obligations, assert or defend against claims related to the recruitment or volunteer agreement, in proceedings before courts or state authorities, and to respond to letters, requests, and demands (Art. 6(1)(f) GDPR).

5. INFORMATION ON THE REQUIREMENT/VOLUNTARINESS OF PROVIDING PERSONAL DATA

Providing data as regulated by universally applicable law is mandatory and necessary to participate in the recruitment and to conclude a volunteer agreement. Providing other data is voluntary but necessary to conclude a volunteer agreement and start cooperation with the Co-administrators as a volunteer. You have the right to withdraw your consent at any time. Withdrawal of consent does not affect the legality of the processing carried out based on the consent before its withdrawal.

6. RECIPIENTS OF PERSONAL DATA

Your personal data may be transferred to:

  • In the case of persons registering for the Festival via application forms on the Website, your personal data is shared with persons involved in organizing the Festival (in particular, authorized employees or collaborators of the Co-administrators, IT service and system providers, lawyers, and consultants serving the Co-administrators) to the extent necessary to use their services,
  • In exceptional situations, entities expressly authorized based on universally applicable laws – in such cases, the Co-administrators reserve the right to disclose selected personal data concerning you to these entities.

7. DATA STORAGE PERIOD

For persons registering for the Festival via application forms on the Website:

  • Data related to the realization of the Festival is processed until the Festival is completed,
  • Data related to concluded agreements is processed for the duration of these agreements, and after their expiration or termination until the statute of limitations for claims arising from them,
  • Data for archiving purposes, relationship management, and ensuring accountability is processed for 5 years after the end of the calendar year in which the Festival took place, unless you object earlier,
  • Data necessary for pursuing claims and defending against claims related to the realization of the Festival is stored as long as required by the statute of limitations for claims specified in the law.

8. RIGHTS RELATED TO PERSONAL DATA PROTECTION

Regarding the processing of your personal data, you have the following rights:

  • Access your personal data and receive a copy,
  • Request the rectification of your personal data,
  • Delete personal data we hold about you and the right to restrict its processing, in cases provided by law,
  • Data portability,
  • Object to data processing,
  • File a complaint with a supervisory authority (President of the Personal Data Protection Office in Warsaw, 2 Stawki Street, 00-193 Warsaw),
  • Withdraw your consent to personal data processing at any time.
